Position Purpose:

The Admin Assistant is responsible for the effective and efficient running of the reception and administrative functions, ensuring all operations support the company’s professional image and service standards.

Key Duties and Responsibilities:

Reception & Communication:

Manage the switchboard and incoming calls with professionalism.

Direct inquiries and complaints to the right departments efficiently.

Provide general information and support to visitors and clients.

Office & Administrative Management:

Handle boardroom bookings, kitchen supplies, and stationery management.

Assist with filing, minute-taking, and document archiving.

Manage courier bookings, lost property, and contractor documentation.

Database & Customer Relations:

Maintain updated tenant and customer databases.

Distribute newsletters, mall updates, and communication to tenants.

Support marketing efforts such as Kids Club membership and brochure management.

Coordination & Support:

Develop and maintain strong relationships with tenants, customers, vendors, and contractors.

Act as a liaison between the company and external contacts to ensure smooth operations.

Promote a positive image of the company at all times.

Performance Standards:

Maintain clear communication and coordination across departments.

Ensure all administrative and client liaison duties are completed accurately and on time.

Keep management informed of all relevant office and operational activities.

Qualifications and Skills Required:

Education:

Matric / Grade 12 (Essential)

Experience:

Reception or Secretarial experience preferred

Knowledge of accounting and property industry (advantageous)

Skills and Competencies:

Excellent communication and interpersonal skills

Strong organizational and administrative abilities

Dependable, detail-oriented, and proactive

Skilled in Microsoft Office and general computer literacy
