Position Overview
The Receptionist will serve as the first point of contact for visitors and callers, ensuring that all guests, tenants, and clients receive professional and friendly service. The role requires someone with strong administrative skills, excellent communication abilities, and the capacity to multitask in a busy environment.
The ideal candidate will project a professional image, maintain organized operations in the management office, and support multiple departments in ensuring the smooth running of the property.
Key Duties and Responsibilities
- Front Office & Switchboard Management
Operate and manage the switchboard, answering calls and directing them to the appropriate personnel or departments.
Handle customer queries promptly and courteously.
Record and relay messages efficiently.
Maintain a welcoming and professional reception area.
- Telephone & Communication Management
Ensure smooth daily operation of the telephone management system.
Update the tenant and contact lists monthly.
Coordinate communication between tenants, contractors, and internal departments.
- Administrative & Clerical Support
Perform general office administration including correspondence, filing, and document management.
Prepare reports, memos, and other documents required by management.
Oversee exhibition bookings and ensure compliance with mall regulations.
Assist the Marketing Manager with tenant newsletters, memos, and marketing collateral.
Manage tenant posters and visual displays within the shopping centre.
- Client Relations & Customer Service
Maintain positive relations with tenants, vendors, contractors, and visitors.
Handle inquiries and complaints with professionalism and empathy.
Uphold the company’s reputation by delivering exceptional service daily.
- Facility Coordination
Conduct daily walkabouts to ensure safety, cleanliness, and operational efficiency.
Report maintenance issues, health and safety risks, or potential hazards to the Operations Manager.
Sign off on security logs (OB book) and follow up on concerns promptly.
- Reporting & Documentation
Collect tenant turnovers monthly and upload data to the Broll online platform.
Submit reports to management by the 7th of each month at 08:00.
Track lease renewals, FICA documents, and outstanding offers from tenants.
- Mail, Courier, and Banking Duties
Handle incoming and outgoing mail and courier services.
Manage daily correspondence efficiently and securely.
Perform general clerical tasks as needed to ensure office operations run smoothly.
Performance Standards
Calls and inquiries are handled courteously and resolved efficiently.
All administrative duties are completed accurately and on schedule.
Reports are submitted on time and meet company standards.
Strong working relationships exist with staff, management, and tenants.
The reception area reflects a professional and welcoming image of the company.
Qualifications and Requirements
Education:
Matric (Grade 12) required.
Knowledge & Experience:
1 year or more of experience in a receptionist or administrative role, preferably in the real estate or retail sector.
Understanding of business service functions and customer interaction.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Skills and Abilities:
Excellent communication and interpersonal skills.
Professional telephone etiquette and strong typing skills.
Attention to detail and organizational ability.
Friendly, approachable, and service-oriented attitude.
Ability to handle multiple tasks efficiently and maintain composure under pressure.
Must be well-groomed and presentable, as this role interacts with the public daily.
